ClozeLoop, Inc. ("ClozeLoop," "we," "us," or "our") provides sales enablement software and services, including the ClozeLoop web application, the ClozeLoop Transcript Capture browser extension, and related services (collectively, the "Services").
This Privacy Policy explains what information we collect, how we use it, who we share it with, and what choices you have. It applies to our website at www.clozeloop.com, our web application, our browser extension, and any other website or product that links to this Privacy Policy.
Please read this Privacy Policy carefully. By using our Services, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our Services.
ClozeLoop plays two different roles depending on the type of information involved:
Data controller. When you visit our website, request information from us, or communicate with us, ClozeLoop is the data controller for the personal information you provide. We decide what personal information is collected and how it is used.
Service provider. When our customers use the Services to process content (including sales call transcripts and related sales materials), the customer is the data controller of that content. ClozeLoop processes that content on the customer's behalf and in accordance with our agreement with the customer. If you are an end user of a customer's ClozeLoop deployment (for example, a sales representative whose call was analyzed), please contact the customer directly with any questions about how your information is being used.

Our customers use the Services to submit content for analysis, which may include sales call transcripts, sales artifacts, scorecards, and related materials. This content may contain personal information about the customer's employees, sales representatives, customers, or prospects. ClozeLoop processes this content on behalf of the customer under the terms of the applicable customer agreement.
Content reaches ClozeLoop in one of two ways. It is either submitted directly by the customer, or it is retrieved from a third-party platform that a customer administrator has connected and authorized, at the direction of an authorized user. The Zoom Integration section below describes one such connected platform.
ClozeLoop does not record, originate, or capture telephone calls, video meetings, or other conversations. In all cases, the customer is responsible for obtaining any consent required by applicable law from call participants.

Publicly available sources, such as company websites and business directories, for sales and marketing purposes.
Business partners and integration providers whose services connect with the ClozeLoop Services at your or your customer's request.
Analytics and marketing service providers that help us understand and improve our website and Services.
We use information for the following purposes:
The ClozeLoop Services use artificial intelligence to analyze and score sales content. We want to be clear about how AI is used with your data.
ClozeLoop does not train models on customer content. ClozeLoop does not develop, train, or fine-tune its own machine learning models using content submitted by customers. We do not use one customer's content to improve results for another customer.
Language model providers: training disabled. ClozeLoop uses large language model providers to generate scoring and analysis. We have configured our accounts with these providers so that content transmitted for analysis is not used for their model training, and we treat that configuration as a condition of using a language model provider for customer content.
Model improvement programs at certain providers. Certain other providers that support the Services, including providers of speech processing technology, operate model improvement programs under which data submitted through their interfaces may be used by that provider to improve the accuracy and quality of its own services. Providers that operate these programs typically offer preferential pricing to participants, and ClozeLoop's pricing reflects that participation.
Where such a program applies, the provider uses the data to improve its own general-purpose models. Under the terms we have agreed to with these providers, the data is not redistributed to other third parties without permission and is not used to build advertising or marketing profiles.
Customer opt-out. Customers who do not want content submitted through their account included in a provider's model improvement program may request exclusion by contacting us at the address below. We will configure the affected processing accordingly for that customer. Because participation in these programs is tied to preferential pricing from the provider, exclusion may affect the pricing of a customer's subscription. We are happy to discuss this at any point, including before signing or at renewal.
AI output is decision support. Scoring, analysis, and other output produced by the Services is intended as decision support for customers and their sales teams. Customers and their users are responsible for reviewing AI output before relying on it or acting on it.
We share information only as described below. We do not sell your personal information.
We use third-party service providers (sub-processors) to help us operate the Services. These providers process information on our behalf under written agreements that require them to protect the information consistent with our obligations to you and our customers. The categories below cover every function for which a sub-processor may process customer data:

A current list of sub-processors is maintained internally and may be updated from time to time. Customers may request the current list at any time by contacting us at the address below.
If you are an end user of a customer's ClozeLoop deployment (for example, a sales representative), your activity within the Services and the content you submit or that is submitted about you may be accessible to authorized users at the customer organization, including managers, administrators, and coaches, in accordance with the customer's configuration of the Services.
If ClozeLoop is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information we hold may be transferred as part of that transaction. We will require any successor to honor the commitments we have made in this Privacy Policy or provide equivalent notice to affected individuals.
We may disclose information if required to do so by law or in response to a lawful request from a public authority. We may also disclose information when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
We may share information for any other purpose disclosed to you and with your consent.
We do not sell your personal information.
We do not share your personal information with third parties for their independent advertising or marketing purposes.
We do not train ClozeLoop models on customer-submitted content, and we do not use one customer's content to improve results for another customer. See the Artificial Intelligence and Machine Learning section above for how our providers handle content.

We take reasonable and appropriate administrative, technical, and physical measures to protect information we hold. These measures include encryption of data in transit and at rest, multi-factor authentication for administrative access, access controls, logging and monitoring, annual application-level security review, and a documented incident response plan.
No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee its absolute security.
Depending on where you live, you may have specific statutory rights regarding your personal information. This section describes those rights and how to exercise them.
Regardless of where you live, you may contact us to request access to the personal information we hold about you, to request that we correct inaccurate personal information, or to request that we delete personal information. Requests may be submitted by email to info@clozeloop.com or by mail to the address listed at the end of this Privacy Policy.
We will acknowledge your request within ten (10) business days and respond substantively within forty-five (45) days, subject to any extension permitted by applicable law. We may need to verify your identity before completing your request, and we may decline a request in whole or in part where we are required to retain the information by law, where completing the request would compromise the privacy or security of another individual, or where an exception under applicable law applies. If we decline a request, we will explain why.
If you are an end user of a customer's ClozeLoop deployment (for example, a sales representative whose call transcript was submitted for analysis), the customer controls that content and we process it on the customer's behalf. We will forward your request to the relevant customer and direct you to them, and we will assist that customer in responding as required by our agreement with them.
Residents of certain U.S. states, including California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, and Virginia, may have the following rights:
Specific rights vary by state. To exercise these rights, contact us using the details below. If you are an authorized agent making a request on behalf of a consumer, we will require written documentation of your authority to act on that person's behalf.
If your request is denied in whole or in part, you may appeal our decision by replying to our response with your reasons. We will respond to appeals within the timeframes required by applicable law.
California Civil Code Section 1798.83 permits California residents to request certain information about our disclosure of personal information to third parties for those third parties' direct marketing purposes. ClozeLoop does not disclose personal information to third parties for their direct marketing purposes.
ClozeLoop does not sell personal information, and does not share personal information for cross-context behavioral advertising, as those terms are defined under the California Consumer Privacy Act (as amended).
ClozeLoop is based in the United States. Availability of our products varies by product and by the channel through which the product is distributed. Not every ClozeLoop product is offered in every region.
Except where ClozeLoop has expressly agreed otherwise in a written customer agreement, ClozeLoop products are not offered to, and are not intended for, individuals or organizations located in the European Union, the European Economic Area, the United Kingdom, or Switzerland.
Where a ClozeLoop product is distributed through a third-party application marketplace or integration platform, regional availability is set at the marketplace level and may be more restrictive than the availability of our other products. The listing for each such product reflects the regions in which it is offered.
If you are located in a region where a ClozeLoop product is not offered, please do not use that product. If we become aware that we have collected personal information from an individual in such a region in connection with a product not offered there, we will delete that information.
Where ClozeLoop makes a product available in a region outside the United States, information may be transferred to, stored in, and processed in the United States. By using that product from a location outside the United States, you consent to the transfer of your information to the United States, which may have data protection laws different from those in your country of residence. Where a written customer agreement extends a product to a region that has additional data protection requirements, those requirements are addressed in that agreement and in any accompanying data processing agreement.
The Services are not intended for individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If we become aware that we have collected personal information from a person under 18, we will delete that information. If you believe we may have collected personal information from a person under 18, please contact us.
ClozeLoop offers an optional integration with Zoom. The integration is enabled only when an administrator at your organization connects it and authorizes ClozeLoop's access. This section describes what the integration accesses and how that information is handled.
If your organization connects Zoom, we access the following on a read-only basis in order to score calls:
We do not create, modify, or delete anything in your Zoom account. Access is limited to the scopes your administrator approves at the time of connection and can be revoked by your administrator at any time.
We store the OAuth token that authorizes the connection. The token is encrypted at rest and is deleted when your administrator disconnects the integration.
Recordings and transcripts are fetched from Zoom on demand at the time a call is scored. They are not retained in our systems as part of a long-term record. The scoring output generated from a call, together with associated metadata such as the call title, date, and participants, is retained in your ClozeLoop workspace and is subject to the Data Retention section of this Privacy Policy.
Content retrieved through the Zoom integration is processed using the sub-processors listed above.
Where a Zoom recording includes a Zoom-generated transcript, ClozeLoop retrieves that transcript and scores it. Where a Zoom recording does not include a Zoom-generated transcript, the recording's audio is sent to our speech processing sub-processor to produce a transcript. These requests are excluded from that provider's model improvement program, so audio retrieved through the Zoom integration is not used to train or improve the provider's models.
This exclusion is specific to the Zoom integration. Content that reaches ClozeLoop through other paths is handled as described in the Artificial Intelligence and Machine Learning section above, including provider model improvement programs and how a customer may request exclusion.
Recordings, transcripts, and participant reports retrieved through the integration may contain personal information about meeting participants, including individuals outside your organization. Your organization is responsible for obtaining any consents required by applicable law from meeting participants, as described in the Our Role in Handling Your Information section above.
An administrator may disconnect the integration at any time through the Zoom App Marketplace by removing the ClozeLoop app from your Zoom account, or through the integrations settings in your ClozeLoop workspace. On disconnection, the stored OAuth token is deleted and ClozeLoop no longer has access to your Zoom account. Scoring output previously generated and stored in your ClozeLoop workspace is retained under the Data Retention section unless you request deletion.
The ClozeLoop Transcript Capture browser extension is a companion tool that lets authorized ClozeLoop users capture call transcripts from supported third-party call recording and meeting platforms and submit them to ClozeLoop for analysis. This section provides additional detail about the extension.
Personally identifiable information: your ClozeLoop account credentials or API key, which authorize the extension to send content to your ClozeLoop workspace.
Website content: call transcript text that you choose to capture from a supported page, and text you choose to select and score using the extension.
The extension operates only when you activate it on a supported page.
The extension sends captured transcript content to ClozeLoop for analysis using the API key associated with your ClozeLoop account.
The extension does not read or transmit content from pages that are not supported and that you have not activated.
The extension does not sell, share, or use captured content for any purpose other than delivering it to your ClozeLoop workspace for analysis.
The extension does not use captured content or any other data it accesses to train AI models or for creditworthiness or lending purposes.
The extension requests only the permissions necessary to identify supported call recording and meeting pages, capture transcript content when you activate it, and communicate with the ClozeLoop backend. Permission details are visible on the extension's Chrome Web Store listing.
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this Privacy Policy. If we make material changes, we will provide additional notice, which may include emailing account administrators or posting a prominent notice within the Services. Your continued use of the Services after the effective date of an updated Privacy Policy constitutes acceptance of the updated policy.
